Smarter Services needed a clearer understanding of how washrooms and shared amenities were being used across a building where demand varied significantly by space, time of day and resident activity.
The Rex is a modern co-living development in Kingston upon Thames, comprising 172 private studios alongside an extensive range of shared amenities, including a 24-hour gym, private cinema, co-working areas, communal kitchens, lounges and entertainment spaces.
For Smarter Services, maintaining consistently high standards across such a varied environment presented an important operational challenge. Demand did not occur evenly throughout the building. Washrooms and shared amenities could experience intense periods of activity followed by much quieter intervals.
Traditional fixed schedules and visual inspections provided routine coverage, but offered limited insight into which spaces had actually been used, when demand was highest or where attention might be needed most urgently.
Working with Flexicount, Smarter Services introduced occupancy-monitoring technology to build a clearer, evidence-led picture of activity across the development and support more informed cleaning and facilities management decisions.

Without reliable usage data, cleaning teams had to rely largely on fixed schedules, visual inspections and staff experience to decide where attention was needed.
Although this approach provided routine coverage, it gave Smarter Services limited visibility of how different spaces across The Rex were actually being used.
Low-use areas could receive attention before it was necessary, while busier spaces could require cleaning between scheduled visits. Supervisors also had limited evidence with which to refine cleaning frequencies or compare usage patterns across facilities such as the gym, cinema, washrooms and other shared amenities.
As a result, staffing and service-delivery decisions were often based on assumptions rather than consistent occupancy data.
The challenge was not simply to count people. Smarter Services needed a practical way to understand demand across spaces with different layouts, infrastructure and patterns of use.
Fixed Cleaning Schedules
Routine frequencies did not always reflect actual demand.
Uneven Demand
Busy and quieter amenities could require very different levels of attention.
Difficult-to-Compare Spaces
Usage patterns varied across washrooms, the gym, cinema and other shared facilities.
Limited Usage Visibility
Supervisors had little evidence of which spaces were busiest.
Reliance on Manual Checks
Visual inspections and staff experience remained important sources of information.
Smarter Services needed a clearer picture of real building usage before cleaning frequencies and resources could be aligned more closely with demand.
Replacing assumptions about how spaces were used with real-world occupancy evidence.
Flexicount worked with Smarter Services to create a practical monitoring solution across different types of shared and residential space, using the most appropriate sensing method for each environment.
Wireless activity sensors and people-counting technology captured usage patterns without disrupting day-to-day operations.
The information was brought together in Flexicount so managers could compare activity across different areas, identify periods of higher demand and see where spaces were being underused.
This gave Smarter Services a more consistent evidence base for operational decisions, service planning and future facilities management.
Wireless Activity Sensors
Installed in washroom areas to monitor usage with minimal disruption.
Cross-Space Occupancy Data
Different technologies combined into one consistent operational view.
Cleaning Frequency Review
Data could be used to assess whether scheduled service levels reflected actual demand.
Overhead People Counters
Used in shared amenities such as the cinema for more detailed footfall insight.
Demand Pattern Analysis
Usage trends helped identify peak periods and quieter intervals.
The solution was designed around the building, using the right sensing technology for each type of space rather than forcing a single approach across every area.
With clearer usage data across washrooms and shared amenities, Smarter Services could make better-informed decisions about where and when attention was needed.
The Flexicount installation gave Smarter Services objective information to support day-to-day cleaning and facilities management decisions across The Rex.
Rather than treating every space as if it experienced the same level of demand, supervisors could review actual usage patterns and direct attention towards the areas that needed it most.
The data could also be used to validate existing cleaning schedules, identify unusually busy periods and support service-review conversations with The Rex management team using clear operational evidence.
For residents, the intended result is a more consistent experience: busy amenities can receive attention in line with demand, while quieter areas are not serviced unnecessarily.
For Smarter Services, Flexicount provides a measurable way to demonstrate proactive facilities management and continuously refine how the service is delivered.
Greater Usage Visibility
Washroom and shared-space activity could be monitored more consistently.
Earlier Identification of Pressure Points
High-use periods and busy amenities became easier to recognise.
Stronger Evidence for Service Reviews
Usage trends supported clearer conversations around resource planning and performance.
Better-Informed Cleaning Frequencies
Service schedules could be reviewed against actual demand.
Less Reliance on Manual Checks
Operational decisions could be supported by objective occupancy data.
Flexicount helped Smarter Services move from assumed usage towards a more responsive, evidence-led approach to facilities management.
The project gave Smarter Services a clearer, evidence-led view of demand across spaces with very different patterns of use.
By combining wireless activity sensors with fixed overhead people counters, Smarter Services could compare how washrooms and shared amenities were being used across The Rex and identify where demand varied most significantly.
The data provided a stronger basis for reviewing cleaning frequencies, recognising high-use periods and supporting resource-planning decisions with objective evidence rather than assumptions alone.
It also created a more consistent operational picture across very different environments, from washrooms to shared amenities such as the cinema, helping the team understand where attention was most likely to be required.
For The Rex management team, the insight provides clearer evidence to support service reviews and conversations around how facilities are being used.
The project also established a scalable foundation for introducing additional alerts or more automated, usage-led workflows in the future.
The project demonstrates how occupancy insight can help facilities teams understand changing demand across complex, mixed-use environments and continuously refine how services are delivered.
Clearer Demand Patterns
Usage data highlights when different spaces experience their highest levels of activity.
More Informed Service Planning
Cleaning frequencies can be reviewed against actual usage rather than assumptions alone.
Better Resource Decisions
Operational teams have stronger evidence to support where attention should be prioritised.
Consistent Insight Across Different Spaces
Wireless and fixed counting technologies contribute to one broader view of building activity.
Stronger Service Review Evidence
Occupancy trends support more transparent conversations with The Rex management team.
"Managing a premium co-living environment means responding to very different patterns of demand across the building. Flexicount gives us clear usage information from washrooms and shared amenities, helping our team make better-informed decisions about where and when attention is needed. It supports a more proactive, transparent and data-led service for The Rex."
